7 Free Tools Every Small Business Can Use (Booking, Bookkeeping, Customers)

In a small business, the owner does almost everything. The tools below are free (or have a free plan) and work from a phone. Free limits and pricing change, so check each one when you sign up.

1. Online booking: Google or Naver booking

If you take appointments — salon, restaurant, studio, workshop — let customers book directly from your map listing. Google Business Profile supports booking links and partner integrations; in Korea, Naver Booking connects directly to your Naver Smart Place listing. Fewer phone calls, fewer no-shows.

2. Customer messaging: WhatsApp Business or KakaoTalk Channel

A business messaging account lets customers chat with you without you sharing your personal number. Set up automatic replies for hours and location. Outside Korea, WhatsApp Business is the common choice; in Korea, use a KakaoTalk Channel. Note that broadcast messages may cost extra.

3. Bookkeeping: Google Sheets

You don’t need paid accounting software to start. A Google Sheet with five columns — date / item / income / expense / payment method — makes month-end far easier, works on phone and laptop, and is easy to share with your accountant.

4. Schedules and staff shifts: Google Calendar

Put bookings, deliveries and staff shifts on one shared calendar with color coding. Overlaps become obvious, and staff always see the latest schedule.

5. Marketing design: Canva

Menus, sale posters, social media images and business cards from ready-made templates. The free plan covers most everyday needs.

6. Customer feedback: Google Forms

Collect feedback on new items, satisfaction surveys or group order requests for free. Print a QR code at the counter and response rates go up.

7. File storage: Google Drive

Store your business registration, contracts, product photos and tax documents in the cloud so nothing is lost with a broken phone. Simple folders — documents / photos / tax / contracts — keep it findable.

How to choose

  • Does it work on a phone? If you can’t check it from behind the counter, you won’t use it.
  • Is it on a business account? Mixing personal and business accounts gets messy fast.
  • One at a time. Adopting five tools at once usually means using none. Start with whatever eats the most of your time.

The bottom line

Free tools alone can cut hours from phone calls, bookkeeping and marketing every week. Pick one this week: booking if you take appointments, a Google Sheets ledger if you don’t.
